Outdated worksheet creates confusion
The United Methodist Church of Indiana’s (INUMC) clergy members wanted to prepare for the future. To help estimate what their pension would be upon retirement, they had to complete a self-serve PDF worksheet. It required detailed information and required employees to perform the math. Completing it was cumbersome.
While gathering the data took time, it was the number of manual calculations that posed the largest issue. The form was static, which meant it couldn’t offer feedback as to whether or not the numbers entered were correct. The opportunity for inaccuracies was high, making it difficult for clergy members to rely on the results it offered.
Automated calculations save time
To tackle this issue, we developed a new online form. We started by translating their HR logic into code, incorporating acronyms unique to their organization. This required close collaboration with INUMC. Together, we streamlined the questions to make it user-friendly, grouping related options together. Dropdown menus and radio buttons allowed users to dynamically view only the fields that applied directly to them. Defining the logic upfront was critical to the overall success of the project.
One of the largest changes was the behind-the-scenes calculator. Now, calculations are performed for users automatically, as they enter new data. This reduces inaccuracies and makes the process faster for clergy members.
Because compensation and benefits often change, we also created a training screencast for the INUMC staff which helped them update formula variables within the form as needed. Having this tool allows them to easily manage these small edits internally, instead of engaging an outside vendor.
Adaptable, user-friendly solution
The new intuitive online form allows clergy members to quickly and accurately determine their retirement pension. It completes complex calculations instantaneously, reducing the opportunity for error. In addition, the form was designed to grow with INUMC by allowing the internal staff to update numbers as benefits and requirements change.
